ABS-CBN Fixed Asset Management Project: Enhancing Asset Visibility and Accountability

Managing thousands of production and broadcast assets is a significant challenge for any media organization. For ABS-CBN, the movement of equipment between warehouses, studios, production sites, and field coverage locations required a more efficient and reliable way to track valuable assets while minimizing losses.

Aurumax Technologies was engaged to implement a Fixed Asset Management solution designed to improve asset visibility, automate validation processes, and strengthen accountability throughout the equipment issuance and deployment workflow.

One of the primary challenges involved the issuance of equipment for production shoots, live events, and news coverage. Prior to deployment, equipment requests are generated and approved based on operational requirements. However, manually verifying that the actual equipment being released matched the approved issuance list was both time-consuming and prone to human error.

To address this, the solution utilized RFID technology and handheld readers to rapidly validate equipment against approved issuance documents. Warehouse personnel could perform inventory verification by scanning entire batches of assets and immediately comparing the results against the authorized equipment list.

A key requirement of the project was ensuring that only the assets assigned to a specific issuance document were recognized as valid. Since equipment for different productions or departments may be stored in close proximity, the system was designed to accurately identify and validate only the assets associated with the selected release transaction. Equipment belonging to another issuance request would not be included in the validation process, helping prevent accidental releases and inventory discrepancies.

An additional layer of verification was implemented at warehouse exit points through strategically deployed fixed RFID readers. Before assets left the facility, the system automatically performed a second validation by scanning all tagged equipment passing through the exit zone. The scanned items were then compared once again against the approved issuance list to ensure complete accuracy.

This dual-validation process significantly reduced the risk of missing, incorrect, or unauthorized assets leaving the warehouse. It also provided management with greater confidence that all equipment movements were properly documented and verified.

Another important component of the project was systems integration. Rather than implementing a direct integration with SAP, the solution was integrated with an existing third-party system already utilized by ABS-CBN and connected to their SAP environment. This approach enabled seamless data exchange while minimizing implementation complexity and reducing project costs.

To further streamline operations and improve user management, Active Directory integration was also implemented. This allowed users to authenticate using existing corporate credentials, simplifying access control and supporting compliance with organizational security policies.

The project was driven by a critical business need. Like many organizations managing large volumes of high-value equipment, ABS-CBN faced challenges related to asset losses involving both major production equipment and smaller portable devices. Over time, these losses represented substantial financial impact and highlighted the need for stronger asset control measures.

By implementing automated RFID-based asset tracking, multi-stage validation processes, enterprise integrations, and centralized asset visibility, ABS-CBN was able to strengthen its asset management procedures and improve accountability across equipment issuance and return workflows.

This project demonstrates how technology can help organizations protect valuable assets, reduce operational risks, and improve inventory accuracy without disrupting existing business processes. Through careful planning, integration, and deployment, Aurumax Technologies delivered a solution that supports operational efficiency while helping safeguard millions of pesos worth of critical business assets.
